Group tariffs are a high-margin but underused tool at most clubs. One corporate event with 15 people can generate revenue comparable to a full day’s hall load. A prepaid birthday — guaranteed cash flow. A tournament slot — reputation and traffic. To create a group tariff in IZI: open “Tariffs” → “Add tariff” → set an event name, slot price, schedule-based expiration, special refund policy → save.

Unlike an hourly tariff (the player pays for their own time), a group tariff is slot rental: the organizer pays for a zone or set of PCs for a specific time block. The number of people in the group doesn’t change the tariff price (though the operator can add a manual surcharge for extra participants).

Step 1. Open “Tariffs” and create a tariff

CRM menu → the relevant club → “Tariffs”“Add tariff”.

Create a separate tariff for each event format. Don’t mix “Birthday” and “Corporate” into one — they have different prices, different conditions, different reports.

Name: immediately indicate the format and what’s included: “Birthday 2h 10 seats,” “Corporate 4h full hall,” “Tournament slot 6h.”

Group: create an “Events” or “Group” group. This separates them at the register and in analytics.

A group tariff is a per-event price, not per person.

Parametric price formula:

Base event price = (hourly rate × number of PCs × event length × utilization coefficient) + organization surcharge.

Example structure at hourly rate P per seat:

  • Event: 10 seats × 2 hours × P = base hourly flow cost
  • Booking surcharge (guaranteed seats) = +20–30% of base
  • Additional services (decorations, facilitator) = separate line items

This is a parametric structure — substitute your P and zone configuration. Actual figures depend on your market, competitive landscape, and club profile.

For an event tariff, use:

  • “Expires X hours after purchase” — how many hours the slot is booked for (2h, 4h, 6h).

Alternative — “Fixed expiration date” if you’re selling the tariff for a specific event date. But this is less flexible: if the event is rescheduled, you’ll need to recreate the tariff.

Standard: “Expires X hours after purchase” — the administrator sells the tariff and immediately starts the session.

For event tariffs the standard policy is “Burn remainder.” An event slot can’t be “played later” — the zone is reserved for a specific time.

Important: document your no-refund / limited-refund deposit policy in your club’s terms. This is an operational rule that IZI CRM doesn’t replace.

If you want a partial refund for cancellations 24–48 hours out — set this up as a manual administrator operation via an order.

For event tariffs: recommended 0% (real money only) or a minimal percentage. An event generates high one-time revenue — don’t allow it to be “bought with bonuses.”

If events only happen at certain hours (e.g. birthdays only on weekends, corporate events only on weekdays before 22:00) — set a sales schedule in the tariff’s sales policy.

Deposit. For event tariffs, it’s standard to collect a deposit at booking. This can be organized by selling the tariff at the register in advance — the client pays now, the session starts on the event date.

Minimum group. Technically IZI doesn’t restrict participant count at the tariff level. If your minimum is 8 people for a corporate event — this is an operational rule the administrator applies at the time of sale. Option: create “Corporate mini (up to 8)” and “Corporate standard (8–15)” with different prices.

Additional services. Food, decorations, facilitator — these are bar products or additional order items, not part of the gaming time tariff. Add them as separate lines in the same order.

Booking confirmation. When selling a group tariff — assign a responsible cashier/administrator to the event. Poor handling at a corporate event kills repeat business.

Checklist:

  • Tariff in the “Events” group is visible at the register
  • Event price is correct
  • Expiration condition is set (N hours after purchase)
  • Refund policy: “Burn remainder”
  • Test sale: buy the tariff, start a session on the relevant PCs, end — revenue is recorded correctly
  • If a schedule is set — the tariff is only visible on the correct days/hours

Frequently asked questions

How does a group tariff differ from a regular hourly tariff?

A group tariff is payment for an event (a time slot + a set of seats), not for personal hours. One person (the organizer) buys a slot for the whole group. A regular tariff — each player pays for their own time separately.

How do I set a minimum group size for a corporate tariff?

In IZI, minimum group size is modeled through a fixed event price (not per person). The administrator manually enters the number of participants at the time of sale or uses the fixed price. There is no automatic 'no less than N people' restriction at the tariff level — this is an operational club rule.

Can food and drinks be included in a group tariff?

Yes. Bar products are added as separate line items to the group tariff order. If you want to sell a 'package: 2 hours + pizza + drinks,' this is formatted as a combo order: tariff + selected bar items. Exact mechanics depend on your club's configuration.

How do I handle the situation where part of the group leaves early?

A group tariff is tied to the event as a whole, not each individual participant. Early departure of some participants does not change the slot price. For adjustments — the administrator handles corrections per your internal policy.

Do I need a separate tariff for each event format?

Recommended: 1 tariff = 1 format (birthday / corporate / tournament slot). This gives clean revenue-by-type reports and lets you set different prices and conditions. Three tariffs instead of one 'general' tariff is standard practice.

How do I set up a deposit refund policy for group bookings?

Refunds are processed via an order in the CRM. Set the refund policy in the tariff card. For event tariffs, 'Burn remainder' is recommended with an explicit condition in the agreement: the deposit is non-refundable X hours before the event. This is an operational rule, not just a CRM setting.
