Shifts: Managing Club Cash & Staff Handovers

Section titled “Shifts: Managing Club Cash & Staff Handovers”

The Shifts section in IZI gives administrators and managers a structured workflow for every working period — from opening the cash drawer with a starting balance to closing out, printing fiscal reports, and handing over to the next staff member. All cash movement, discrepancy logging, and collection records are tied to a shift, which means your financial picture stays clean and auditable without extra spreadsheets.

A shift in IZI is the operational unit that groups all transactions — gaming sessions, bar sales, bonus top-ups, and cash-ins — under one time-bounded record. When a shift closes, IZI locks that record and generates reconciliation data so that the next administrator picks up with a known opening balance. This makes it straightforward to spot discrepancies between expected and actual cash on hand.

Why this structure matters for club owners

Section titled “Why this structure matters for club owners”

Gaming clubs handle a high volume of small transactions across multiple payment methods. Without a defined shift lifecycle, cash discrepancies can go undetected until end-of-month reconciliation — by which point tracing the root cause is difficult. IZI’s shift model enforces discipline at the operational level: every administrator works within a named shift, every cash movement is recorded, and every handover is documented.

The X-report lets a manager check mid-shift totals without committing to a close. The Z-report finalises the period and feeds into your finance module. Discrepancy records link directly to the shift’s transaction log, so you can drill down to the specific session or sale that caused a mismatch.

Section titled “Recommended reading order for new administrators”
  1. Read Opening a shift — understand what to enter before the first guest logs in.
  2. Review Cash collection — know when and how to move cash to the safe during a long shift.
  3. Study Closing a shift — follow the checklist to print the Z-report and hand over correctly.
  4. Bookmark Shift discrepancies — you will need it the first time expected and actual cash do not match.

What happens to transactions if a shift is closed mid-day?

When a shift closes, IZI locks all transactions that occurred during that period and generates a Z-report. Any new transactions — gaming sessions, bar sales, or cash movements — are automatically assigned to the next shift once it is opened. No transaction falls outside a shift boundary.

Can two administrators share one open shift at the same time?

No. IZI assigns each shift to a single responsible administrator. To hand off during the day, use the shift handover protocol: the outgoing administrator documents the current cash balance and closes their shift, then the incoming administrator opens a new shift with the confirmed opening balance.

How does IZI handle a cash discrepancy found at shift close?

At closing, IZI compares the system-calculated cash total against the physical count entered by the administrator. Any difference is logged as a discrepancy record linked to that shift. The administrator can add a note explaining the cause; managers can review all discrepancy records in the Shift discrepancies page.
