Shift Handover Protocol

A handover is the transfer of operational responsibility from one admin to another without closing the shift. The goal: the incoming admin has complete situational awareness within 5–10 minutes.

Outgoing admin: before the incoming admin arrives

  • Run the X-report in CRM and note the current totals
  • Count the cash drawer and confirm it matches the X-report
  • Identify all active sessions, holds, and any offline PCs
  • Prepare a brief on pending items: unresolved client issues, expected deliveries, low bar stock

Cover these four areas in order:

1. Cash

  • Amount in the drawer
  • Any discrepancy from the X-report and the suspected reason

2. Active sessions

  • How many sessions are running
  • Any unusual sessions (very long, partially paid, client dispute)

3. Hall status

  • PCs on hold: which ones and why
  • Offline PCs: which ones, what was tried, current status

4. Pending actions

  • Client callbacks or follow-ups
  • Restocking needed
  • Any manager instructions passed from earlier in the shift
  • Count the cash independently — confirm it matches what the outgoing admin reported
  • Check the Hall view: verify session count and PC statuses match the briefing
  • Confirm you understand all open items and know who to contact if needed

For clubs with multiple daily shifts, a physical or digital logbook entry per handover prevents information from being lost between shifts:

  1. Outgoing admin closes shift → Z-report generated → cash counted and recorded
  2. Incoming admin opens new shift → enters opening balance (cash remaining in drawer)
  3. Both admins confirm the opening balance figure in writing or verbally with a witness

Frequently asked questions

Does the outgoing admin need to close the shift before leaving?

Only if the business day ends. If the club stays open, keep the shift open — the incoming admin continues on the same shift without closing and reopening.

How long should a handover take?

Under 10 minutes for a clean, well-prepared handover. Longer if there are unresolved incidents or a cash discrepancy to investigate.

What if the incoming admin is late?

The outgoing admin stays until the incoming admin arrives and receives the briefing. Never leave the club unmanned mid-shift.
