Session Auto-Renewal and the Manage Auto-Renewal Permission

Auto-renewal extends an active session before the purchased tariff expires. The system automatically picks the smallest available tariff in the current zone and adds it to the player’s session — no staff involvement, no interruption to the game.

This is especially useful for clubs with late-night formats and long gaming sessions: admins don’t have to watch every timer, and guests don’t have to stop mid-game to top up.

The section appears only when the staff member’s role has the Manage Auto-Renewal permission. Without it, the section is completely hidden — the staff member sees neither the current state nor the toggle.

Auto-renewal state is stored at the player–club level. This means the setting is not tied to a specific session — it describes whether this player wants their time in this club extended automatically. You can toggle it from the session card of any active session for that player, and the change applies to the entire club, not just the current session.

When auto-renewal is on:

  1. Before the current tariff expires, the system selects the smallest available tariff in the device’s zone.
  2. The tariff is added to the session. Payment is charged from the player’s gaming balance or linked card — whichever is available at the time of renewal.
  3. If neither a linked card nor sufficient gaming balance is available at renewal time, the renewal does not fire and the session ends normally.

Auto-renewal works only for finite sessions with a fixed duration. For open-ended postpaid sessions it is on by system mandate and cannot be changed manually by either staff or the player.

The Auto-Renewal section of an active session card shows:

The renewal tariff is selected automatically as the minimum available item in the catalog. If no eligible tariff exists, the CRM shows a corresponding warning.

In two situations the toggle is visible but cannot be changed:

Where to enable it: Settings → Roles → select a role → Club administration group → Manage auto-renewal checkbox.

What it unlocks:

  • The Auto-Renewal section in the session card
  • Visibility of the current state (on/off) and the renewal tariff
  • The toggle to change the state

What happens without it: The CRM does not request auto-renewal state at all. The section is absent from the session card — staff see neither the status nor the toggle, even when auto-renewal is on for the player.

What this permission does not cover on its own: The permission exposes the section, but actually changing the auto-renewal state also requires the role to have session-editing and payment permissions. The server checks all three simultaneously on every change.

  1. Open Settings → Roles.
  2. Create a new role or select an existing one.
  3. In the Club administration group, enable the Manage auto-renewal checkbox.
  4. If the staff member needs to change the state rather than just view it — make sure the role also includes session-editing and payment permissions. Base access is added automatically as a dependency.
  5. Save the role. Changes take effect the next time the staff member logs in to the CRM.

Staff can see the toggle but cannot click it. The toggle is locked for one of two reasons: the player has an active POD (cabin) session at this club, or the session is open-ended postpaid. In the first case, wait for the cabin session to end. In the second, manual changes are not possible.

Auto-renewal was on but did not fire. The most likely cause is that there was neither a linked card nor sufficient gaming balance at renewal time. The Auto-Renewal section in the session card shows a no-payment-method warning while the session is still active — if you see it, ask the player to top up their balance or link a card through the app.

The Auto-Renewal section does not appear after adding the permission to the role. Role changes take effect on the next login. If the staff member is already logged in, they need to sign out and back in. Also make sure the role is assigned for the correct club — permissions apply only to the clubs selected when the role was assigned.

The Manage Auto-Renewal permission only controls staff access via the CRM. Players fully manage their own auto-renewal through two channels, independently of role settings:

  • IZI mobile app — in the balance and club settings section, players can see the current state, toggle auto-renewal on or off, and link a payment card.
  • Kiosk — the self-service device in the club offers the same controls.

Removing the permission from a staff role has no effect on what the player can do in the app or at the kiosk.

What is session auto-renewal?

Why don't I see the Auto-Renewal section in the session card?

Can a player turn auto-renewal on or off themselves?

Yes. Players control auto-renewal through the IZI mobile app or the kiosk — independently of staff permissions. The Manage Auto-Renewal permission only controls CRM-side access for staff.

Can auto-renewal be disabled for an open-ended session?

No. For open-ended postpaid sessions, auto-renewal is mandatory and system-controlled. The CRM shows an explanatory message and the toggle is locked.
