Seating a Group on Several PCs

Published: · IZI Team

When a group arrives, you do not need to set up each guest separately. In one window you pick a client, a computer and a tariff for each seat, collect a shared bill and start all sessions together.

  1. In the Hall view open PC booking: the Book button (more in Managing Bookings).
  2. Choose the start time: now or a specific time.
  3. Switch the mode from One client to Several clients. The window turns into a table of seats.
  4. Fill in the rows. Each row has:
    • Client: a guest by default; replace it with a client from the database or register a new one.
    • Device: only computers free at that time are listed. A computer already chosen in another row cannot be chosen twice.
    • Occupancy: a strip shows what else is happening on this computer around the booking time (other sessions, bookings, holds). Scroll it with the mouse wheel or the arrows.
    • Tariff: the button opens the catalog for this seat; bar items go into the same bill.
  5. Use Add client to add more seats. There cannot be more seats than free PCs: the number left is shown next to the button.
  6. Click To payments.

Switching the mode discards what you have entered, so the window asks for confirmation.

Above the tariff column there is a same checkbox. When you switch it on, the last selected tariff is set for all seats in the same zone. A seat that gets its computer later picks up the tariff by itself. If the tariff is not sold in a seat’s zone, that seat stays without a tariff and a note under the table says how many seats it did not fit. Change the tariff by hand on a seat it was applied to and the checkbox clears.

After To payments the orders and sessions are created per seat and the Payment and start window opens with the shared bill:

  1. In Who pays choose a client. Any club client can pay, not necessarily the one sitting at the computer.
  2. Enter the contribution amount and payment method, or pay the whole bill at once.
  3. The money goes to the payer’s balance and covers the selected items, and the rest goes to the next ones. A discount on the bill can be set only before the first contribution.
  4. When the bill is paid, click Start all sessions.

If one seat could not be set up, the others do not stop: the reason is shown to the administrator, and that seat can be fixed and added to the bill with Add to bill. If you close the payment window before everything is paid, you are offered to return to payment: unpaid sessions cannot be started.

For details on the shared bill, contributions and balance top-ups see Group Orders and the Shared Bill.

Frequently asked questions

How many guests can I seat at once?

As many as there are free PCs for the chosen time. The window shows how many free computers are left and does not let you add an extra seat.

Can I seat guests without a profile?

Yes, if the staff member has the right to seat guests: a row starts with a guest by default. Replace it with a client from the database or register a new one right in the row.

What does the "same" checkbox next to the tariff do?

It sets the same tariff for all seats in the same zone. If some seat is in another zone, a note under the table says how many seats the tariff did not fit. If you change the tariff of a seat by hand, the checkbox is cleared.

What happens if one seat cannot be set up?

The other seats keep going and the reason for the failure is shown to the administrator. The window stays open so you can fix the seat and try again.

Does every guest have to pay for themselves?

No. All seats go into one shared bill, and any club client can pay: the money covers the selected items and the rest goes to the next ones in order.
