Transactions Overview

A transaction in IZI is any change to a client’s balance. Every operation is written to the log: amount, type, timestamp, staff member, and payment method. The history is append-only — it is never edited, only extended with correcting entries. This gives club owners a tamper-evident financial record, and gives admins a single place to trace every payment and balance movement.

Top-ups increase a client’s cash balance. Three sources:

  • Cash — the admin accepts banknotes and enters the amount in CRM. The amount is recorded in the shift register.
  • Card via POS terminal — the terminal confirms the payment; the admin enters the amount manually in IZI.
  • Via the IZI mobile app — the client tops up independently; funds arrive automatically without admin involvement.

Debits reduce the balance. They happen automatically:

  • Starting a gaming session (charged at the active tariff rate)
  • A bar or counter purchase
  • Deduction on tariff expiry

Bonuses are a parallel balance circuit — they do not affect the cash balance:

  • Accrual on top-up — triggered by loyalty programme rules configured in IZI
  • Bonus spend — the client pays part of a session with bonuses, up to the maximum percentage set in the tariff
  • Bonus expiry — bonuses lapse according to the expiry rules defined in the programme

A refund returns money to the client — it is a positive amount for the client and a negative for the till. Refunds require confirmation from a staff member with financial-operation permissions.

A manual balance adjustment made by an admin — either an increase or a decrease — with a required comment. Used to fix mistakes. All corrections appear in the history with their type label, so the audit trail is always complete.

In Transactions, use filters to narrow the view:

  • Date range — most commonly used
  • Payment method — cash, card, balance, bonus
  • Transaction type — top-up only, session only, etc.
  • Client — search by phone or name
  • Staff — filter by which admin processed the transaction
  • Club — for multi-club organisations

The filtered transaction list can be exported to CSV for external accounting or reporting. Click Export in the toolbar.

For daily or monthly reconciliation, use the consolidated transaction report — it shows discrepancies between the expected and actual till balance, making it straightforward to identify missing payments or unrecorded corrections.

Frequently asked questions

What is a transaction in IZI?

Can a transaction be deleted in IZI?

No. Transactions cannot be deleted — this guarantees the integrity of the financial history. Mistakes are corrected by adding a correcting transaction with the opposite sign.

Can I filter transactions by client?

Yes. Use the client filter in the Transactions section, or open a specific client's card and view their Transactions tab — it shows only that client's history, filterable by type and date range.

What does a negative transaction mean?

A debit from the client's balance: starting a session, a bar purchase, or a downward manual correction. The amount is shown with a minus sign.

Are bonus and cash transactions stored separately?

Yes. IZI maintains two independent balances — cash and bonus. Transactions on each are tracked separately. Bonuses cannot be withdrawn or converted to cash.
