Onboarding a New Admin

A new admin who doesn’t know the system creates friction for every player in the hall. A structured onboarding takes 1–2 days and pays back immediately in fewer errors, faster service, and confident independent operation.

  1. Send the CRM inviteinvite the admin and confirm they can log in.
  2. Walk through the interface — show the main sections: Hall, Clients, Shifts, Analytics. Don’t go deep — overview only.
  3. Cover the shift routine — opening balance, how to open and close a shift, the X and Z reports.
  4. Review the staff handbook — rules, cash handling policy, discount authorization, incident escalation.

The new admin observes an experienced admin running a full shift without touching the system. Focus on:

  • How to start and end sessions
  • How to handle a client who wants to top up balance
  • How to deal with a PC that goes offline
  • How to close the shift and count cash

New admin handles everything; experienced admin is present and available. Common moments to coach on:

  • Opening balance — verify the cash drawer count before touching anything.
  • First session of the shift — confirm they select the right device and tariff.
  • First cash payment — confirm they enter the correct amount.
  • Shift close — walk through Z-report together the first time.

Before leaving the admin unsupervised, confirm they can:

  • Open and close a shift independently
  • Start, extend, transfer, and end a session
  • Register a new client and top up their balance
  • Apply a discount (and know when authorization is required)
  • Handle a PC offline situation (restart IZI Boot, check network)
  • Count cash and reconcile the drawer
  • Generate and read the Z-report
  • Escalate: know who to call if something goes wrong

Should a new admin shadow a senior admin first?

Yes. A shadow shift (observing without touching the system) followed by a supervised shift (doing everything with guidance) is the most reliable path. Skipping shadow shifts leads to more errors in the first week.

What are the most common mistakes new admins make?

Starting sessions on the wrong device (look at zone carefully), forgetting to open a shift before selling, applying a discount without authorization, and not counting the cash drawer before opening.
