Manual Bonus Award in IZI

A manual bonus award is an administrative operation for adding bonuses to a client’s account outside of automatic program rules. Used for compensation, marketing promotions, and error corrections. Every award requires a mandatory comment and is recorded in the audit log.

A technical failure during a session, delayed club opening, staff error — situations where the client has a legitimate complaint. A manual bonus award compensates for the inconvenience without actual cash movement.

If the top-up bonus rule didn’t fire correctly (e.g., the client topped up the required amount but the bonus wasn’t awarded due to a technical error) — the manager can manually add the missed bonuses.

One-time promotions — welcome bonuses for a new client, award to a tournament winner, special gift for an event — all are manager manual operations.

A client hasn’t visited in a while and you want to bring them back — manually award bonuses with a short expiry period as an incentive. This is less systematic than an automatic reactivation rule through the bonus engine, but works for individual cases.

  • Open shift.
  • A role with the manual bonus award permission. IZI’s built-in Administrator role includes this permission. Custom roles (e.g. a “Manager” role created by the owner) must have the permission explicitly assigned — if the button is absent, the role’s permission set needs updating.
  • A specific reason for the award to include in the comment.

Find the client via name, phone, or app QR code search.

The client card has two blocks: monetary balance and bonus balance. Click on the bonus balance block or the Bonuses button.

An award form opens. If there’s no button — your role lacks permissions.

Enter the number of bonuses. There’s no minimum — even 1 bonus can be awarded. Remember that excess awards above program norms reduce the program’s perceived value for the client.

If you want the bonuses to expire after a certain period — enter the expiry date. Without a date, bonuses are permanent.

A limited expiry creates an incentive to return — the client knows the bonuses will expire if they don’t come. Recommended expiry for compensation bonuses: 14–30 days.

Enter a specific reason:

A detailed comment protects against arbitrary awards and serves as an audit tool.

After confirmation:

  • Client’s bonus balance increases
  • A “Manual Award” type entry appears in the bonus balance transaction history
  • Monetary balance and shift register are not affected

For regular marketing awards (e.g., 50 bonuses for all new clients) — it’s better to configure an automatic rule in the bonus engine than to do manual operations per client.

All manual awards are visible:

  • In the client card → Transaction History → filter by “Manual Award” type
  • In the general transaction registry → filter by type and staff member
  • In Analytics → Bonuses — volume of manual awards for the period

Regular check: export manual awards for the month and cross-reference with reason documentation. Unexplained awards are a sign of abuse or poor procedures.

If the client’s bonus balance needs to be reduced — for example, when an erroneous award is discovered — use the Deduct Bonuses operation (same form, opposite direction). Applied the same way: required comment, same permission as for awarding bonuses.

Bonuses cannot be deducted below zero — the system blocks amounts exceeding the current bonus balance.

Frequently asked questions

Who can manually award bonuses?

A staff member whose role includes the manual bonus award permission. IZI has one built-in staff role — Administrator — which has this permission. If your club uses custom roles (e.g. a 'Manager' role the owner created), the permission must be explicitly included in that custom role. If the Award Bonuses button is absent, the current role lacks the permission.

Is a manual award different from an automatic top-up bonus?

Yes. An automatic bonus fires via a rule when the monetary balance is topped up. A manual award is an administrative operation, not tied to a top-up. Both types are visible in transaction history with different labels.

Can bonuses be awarded without a comment?

No. The reason field is required for manual awards. The system will not allow the operation without a filled comment.

How does a manual award show in bonus analytics?

The operation appears in the bonus balance transaction history as 'Manual Award.' In Analytics → Top-Up Bonuses, manual awards are shown separately from automatic ones.

Do manually awarded bonuses expire?

Depends on settings. A manual award can be processed with or without an expiry date. Without a specified date — bonuses are permanent until spent or policy change.
