IZI Toolkit: Templates and Scripts for Computer Clubs

The IZI Toolkit collects ready-to-use materials for day-to-day club operations: social media post templates, admin conversation scripts, broadcast templates, and checklists. Each item is a concrete tool for a concrete task — no padding, no theory. Every template follows a “fill in and send” principle: {{placeholders}} in double curly braces show exactly what to replace. Where context helps, there is a short note on when and how to use the material.

Telegram Post Templates — 12 templates for your club’s Telegram channel. Grand opening, promotions, bonus top-up mechanics, tournaments, new tariffs, winback posts, and holiday content. Each template is built around a specific occasion.

Instagram Post Templates — 10 templates that account for visual presentation and hashtags. Reels descriptions, feed posts, and story prompts. Separate templates for different goals: acquisition, retention, and event announcements.

WhatsApp Broadcast Scripts — 8 scripts for different objectives: reactivating dormant clients, promotion announcements, birthday messages, and bonus balance reminders. Length and tone are optimised for the messenger format.

SMS Templates — 10 templates covering different goals and segments. SMS is a short-form channel, so each template stays within 160 characters with a clear call to action.

Email Campaign Templates — 8 email templates: onboarding series, reactivation, new feature announcements, and transactional messages. Each includes a subject line and body structure.

Upsell Scripts — phrases for increasing average transaction: suggesting a larger top-up, upgrading a client to multipass, offering snacks or a drink. Includes objection-handling branches for the most common pushbacks (“too expensive”, “I’ll think about it”).

Newcomer Onboarding Scripts — how to handle a first visit: explain the balance system, walk the guest through the hall, connect them to the mobile app, and shape a strong first impression. Laid out as a step-by-step script.

Conflict De-Escalation Scripts — handling difficult situations: unhappy client, technical failure, disputed charge, seat conflict, noise complaint, and rule violation. Step-by-step with specific phrases for each stage.

Admin Cheatsheet (Print-Ready) — a single A4 sheet: key phrases, tariff reference, and actions for common situations. Designed to be printed and posted at the workstation.

Grand Opening Checklist — a complete task list for opening a club: 30 days before, one week before, the day before, opening day, and post-opening follow-up. Checkbox format — print it and tick items off.

Welcome Email Series (5 Emails) — a ready-made drip campaign for onboarding a new player: immediate post-registration email, activation email, bonus guide, return invitation, and a habit-forming offer. Covers Day 0 through Day 21.

Winback Message Pack (30/60/90 Days) — scripts for recovering clients who have not visited in 30, 60, or 90 days. Each stage uses a different tone and a different offer — calibrated to how long the client has been away.

Step 1 — Choose the right template for the task

Start with the goal. Attracting new guests: use social media announcement templates. Recovering dormant clients: the winback pack. Increasing average transaction: upsell scripts for admins. Mapping the goal first prevents picking the wrong tone or channel.

Replace every {{...}} placeholder. The standard set across most templates:

  • {{club_name}} — your club’s name
  • {{address}} — street address or map link
  • {{amount}} / {{bonus_amount}} — your current figures in local currency
  • {{date}} / {{day}} — the specific event date
  • {{link}} — link to the app, website, or WhatsApp

Before publishing, confirm that the amounts and conditions in the template match what is currently set in the system. A mismatch between a post and the cashier screen is a reliable source of disputes and refunds.

Templates are written in a neutral conversational register. If your club communicates more casually — or more formally — adjust the wording without changing the underlying structure. The structure is where the conversion logic lives; the tone is just the delivery.

A template provides structure and the right set of elements. Live response to a specific guest is always the admin’s job. A conflict script helps you remember the right words under pressure — it does not replace empathy or common sense.

The same applies to broadcasts. A WhatsApp template performs better when it includes personalisation — at minimum, the client’s name. Frequently asked questions

Do I need to adapt the templates for my club?

Yes. Every template contains placeholders in double curly braces — {{club_name}}, {{amount}}, {{date}} — that you replace with your own data. Minimal adaptation takes 1–2 minutes per template.

Can I use the templates without IZI?

Most templates are system-agnostic and work with any club management software. Templates that reference specific IZI features (bonus balance, mobile app) will need those parts swapped for the equivalent in your system.

How often should templates be updated?

Review amounts, dates, and offers once a quarter. Admin scripts should be revisited whenever you change pricing or club rules.

Are there templates for different channels?

Yes: Telegram, Instagram, WhatsApp, SMS, and email each have their own templates designed for that channel's format, length, and audience.

How do I measure whether a template is working?

For social posts — track reach, link clicks, and footfall attributed to the promotion. For admin scripts — monitor average transaction per shift. For SMS and email — measure conversion rate (messages sent vs. visits generated).
