Extending a Session When the Timer Is Almost Out

The session is ending — and the administrator has literally one minute to extend it without interrupting the client. The standard extension operation works in this case too; the key is not to delay.

On the hall map, a PC card with a nearly-expired session changes its indicator: a timer appears showing a short remaining time, and the card color may change (depends on CRM version). This is the administrator’s signal to act.

Do not wait for the timer to hit zero — extend as soon as you see the warning. If the session ends automatically, it cannot be restored without losing time.

Monitor the hall map — cards with expiring sessions will stand out. For large halls, it helps to periodically scan the timers on all active cards.

A side panel opens with active session details: client, tariff, exact remaining time, balance.

In the panel, click Extend. The extension form opens.

Select a tariff — the same or a different one. The system will show the cost and the client’s available balance.

If balance is sufficient: proceed to step 5.

If balance is insufficient: ask the client to top up. Process a top-up right now — the top-up button is accessible from the client side panel. Return to the extension after topping up.

Click Extend. The timer on the card updates, funds are deducted. The PC continues running without interruption.

Ideally, extend not with one minute left but with 3–5 minutes to go. Then:

  • The client notices nothing
  • You have time to discuss a top-up if the balance is low
  • No risk of the PC locking between expiry and extension

Build a habit: when a client has 5 minutes left — check in and ask “are you continuing?”

If the client has auto-renewal enabled and sufficient balance on a compatible tariff — the system will extend the session automatically at expiry. The administrator does not need to do anything.

Auto-renewal is configured:

  • At the tariff level (default for all clients on that tariff)
  • In the specific client profile (personal setting)

With auto-renewal, the client sees a renewal notification. The PC does not lock.

Auto-renewal condition: the client must have enough balance for the next tariff. If the balance is zero — auto-renewal will not trigger even with the option enabled.

If the moment was missed and the session ended automatically:

  1. The PC entered standby mode (green or locked screen)
  2. Start a new session in the standard way: Hall → PC → Start Session
  3. Select the same client, tariff, payment method

Time the client “lost” between the end and the new start is gone. Compensation policy (add minutes, give a bonus) depends on the club’s rules.

Frequently asked questions

What happens when a session's time runs out?

If auto-renewal is not configured — the PC enters standby mode: the game may be paused or the PC locked depending on club settings. The administrator sees a warning on the hall map.

Can a session be extended before time runs out?

Yes, and this is the preferred scenario. Extend proactively — 2–5 minutes before the timer expires. The client won't notice any interruption.

How do I configure automatic renewal?

Auto-renewal is configured at the tariff level or in the client profile. When enabled, the system automatically adds the next tariff when the current one expires — provided the client has sufficient balance.

What if the client doesn't have enough balance for the extension?

The system will show a low-balance warning. Top up the client's balance (cash or card) and then confirm the extension. The extension will not go through until the balance is topped up.

The session has already ended — can it be restored?

After automatic session end — no, restoration is not available. A new session must be started. This is why extending proactively or setting up auto-renewal is important.
