IZI Toolkit: Templates & Scripts for Gaming Clubs

Section titled “IZI Toolkit: Templates & Scripts for Gaming Clubs”

The Toolkit is a library of battle-tested templates and scripts for the daily tasks of a gaming club owner and admin. Every item is built from real-world experience across clubs running on IZI and is ready to use immediately: copy it, fill in your data using {{placeholders}}, and send to a client or publish on social media.

What sets Toolkit apart from Playbooks: a playbook describes the strategy for reaching a goal — how to fill off-peak hours, how to launch a loyalty programme — while the Toolkit gives you the finished artifact for a specific moment: the post copy for a promotion, the counter script for the admin desk. Use them together for the full picture.

The Toolkit is an accelerator, not a substitute for understanding your marketing or customer service. A template works when you know why you are using it and for whom. Pair each item with the Marketing section and the relevant Playbook.

Telegram Post Templates — 12+ ready-made posts for your club’s Telegram channel. Morning opening announcement, tournament announcement, top-up bonus, winback for dormant clients, birthday greeting. Every template ships with {{placeholders}} such as {{club_name}}, {{discount_pct}}, {{promo_code}} and a short usage tip so the admin knows exactly when to reach for it.

Instagram Post Templates — 10+ templates for Instagram: Reels tournament teaser, hall photo, promotion, giveaway, behind-the-scenes, client review. Each includes caption copy, a curated hashtag set, and a visual production note.

Pair these templates with the posting calendar from the Social Media Strategy guide — that way you know not only what to publish but when and in what content ratio.

WhatsApp Broadcast Scripts — 8 ready-made WhatsApp broadcast scenarios: new client welcome, first top-up bonus, promotional blast, expiring-bonus reminder, winback, tournament announcement, birthday greeting, club closure or relocation notice. Each script is capped at 2–5 sentences with a recommended send time and target audience note.

SMS and email templates (coming soon) — short transactional messages: registration confirmation, session reminder, post-session receipt, bonus balance notification.

Upsell Scripts — step-by-step sales scenarios for the admin at the front desk. Upsell at top-up (client is below the bonus threshold), selling a multipass to a regular, upsell from a standard PC to the VIP zone, bar add-on, handling “too expensive” and “I’ll come later” objections. Each scenario includes the admin’s opening line, a typical client response, and a counter line. Decision trees are provided where the conversation can branch.

New-client scripts (coming soon) — first contact: client registration, explaining the tariff system, loyalty programme onboarding, how to invite them to subscribe to the Telegram channel.

Conflict-resolution scripts (coming soon) — handling complaints: PC performance issues, noisy neighbours, payment not processed, client disputes a charge.

Club opening checklist — a detailed task list from signing the lease to running the first shift. Linked to the Club Opening Launch Checklist playbook, but contains more operational detail: what to configure in IZI, which documents to prepare, how to train the first admins.

Welcome email sequence (coming soon) — a drip series for new clients: day 0 (registration), day 3 (first bonus), day 7 (tournament invitation), day 14 (satisfaction survey).

Winback pack — a set of reactivation materials for dormant clients: WhatsApp script, email template, Telegram post. Works alongside the Reactivate Dormant Clients playbook.

Admin cheatsheet — a one-page reference card for new admins: how to find a client in IZI, how to top up a balance, how to start a session, how to apply a promo code, who to call if something breaks. Print it and stick it behind the desk.

  1. Identify the task — what needs to happen right now: publish a promotion post, send a broadcast, sell a multipass to a client at the desk.

  2. Find the right template — search by keyword or browse the categories above.

  3. Fill in your data — every template uses {{placeholders}} such as {{club_name}}, {{discount_pct}}, {{promo_code}}. Replace them with your actual club values.

  4. Adapt to your context — a template is a starting point, not a rigid script. If your club has a different tone of voice or a specific audience, adjust accordingly.

  5. Track the result — in IZI, check the metrics after applying a template: how many new clients came after the post, how many top-ups followed a broadcast, whether the average ticket grew after the upsell script. The data lives in the Analytics section.

Many Toolkit templates and scripts rely on data that IZI already tracks:

  • Client segments — for targeted broadcasts (new clients, VIP, dormant) use the Client Filters in IZI.
  • Promo codes and bonuses — the mechanics are covered in the Bonuses and Discounts and Promos sections.
  • Automatic triggers — some communications can be automated via IZI integrations: birthday messages, expiring-bonus alerts, 30-days-without-a-visit winback.

The Toolkit works standalone — copy the template and send it manually — and at scale when connected to IZI automation.

Can I use the templates without changes? Yes, but adapting to your tone of voice delivers better results. The template handles structure and message logic; the details — emoji, formality, cultural references — depend on your audience.

How often is the Toolkit updated? New templates and scripts are added based on requests from clubs running on IZI. If you need a template that does not exist yet, contact support and we will add it in the next update.

Do these templates work for clubs outside any specific region? Yes, the underlying logic is universal. Adapt the language and cultural references for your local market.

How do I measure whether a template is working? For social posts: reach and follower growth. For broadcasts: conversion rate (how many recipients took the target action). For admin scripts: average ticket and the rate of successful upsells. All key metrics are available in IZI Analytics.
